How Aloha Relief handles what you send through this site and what is added once care begins.

Who this policy describes

This policy explains how Aloha Relief handles information when you read the site, request a visit, subscribe to the journal, or work with a practitioner. It covers the public website and the notes created once you become a client. It is written for a health and wellness practice, in ordinary language, so you can decide what to share before you share it.

Aloha Relief is the practice named on this site. Coordinators handle matching and messages. Practitioners handle clinical notes in their own professional role. When this policy says we, it means the practice acting together, unless a sentence names a specific role. If a sentence is unclear, ask through the contact form and we will revise the public text.

Information you choose to send

The public forms ask for a name, an email address, and, on visit or contact forms, a message. Do not include a phone number or a street address in those messages. The pages are not built to collect them, and a note that contains them will be trimmed before it is stored in a care record. You decide how much health detail to put in the first message.

If you subscribe, we store the email address and the date you joined or left. If you request a visit, we store the priority you described, the practitioner we proposed, and the messages that follow. Weekly scores you later choose to keep are part of the care record because you and the practitioner both rely on them.

How the site behaves in your browser

Forms on this website validate in the browser and show a confirmation line only after the fields pass. They are not posted to a server from the page itself. A cart, if a future page adds one, stays in local storage on your device under a single key and can be cleared by you. We do not use that storage to follow you across other sites.

The pages do not embed remote images or third-party trackers. Photographs are files on this site. If you load a font that your device already has, that choice stays on your device. Server logs may record the usual technical details of a page request, such as time and the address of the request, and those logs are kept only as long as needed to operate and protect the site.

How we use care information

We use what you send to match you with a practitioner, to prepare for a visit, to coordinate people who share your plan, and to answer questions. Journal subscriptions are used to send essays and occasional notes about visit availability. We do not sell lists, and we do not trade health details for advertising.

A practitioner may use your history to decide what is safe to suggest. A coordinator may use the same history only to schedule and to route messages. Access inside the practice is limited to people who have a reason tied to your plan. Curiosity is not a reason. Training examples are rewritten so they cannot be traced to you.

Sharing outside the practice

We share information outside Aloha Relief only when you ask us to, when a practitioner must coordinate with another professional you have named, or when the law requires a disclosure we cannot refuse. A request from you should say what may be shared and with whom. A broad request to send everything will be confirmed before it is acted on.

Vendors who host email or store records are required to use the information only to provide that service. They do not receive permission to study it for their own products. If we change a vendor, the new vendor inherits the same limit. We will describe a material change in this policy rather than hiding it in a footer link.

How long notes are kept

Matching messages that never become a visit are kept only long enough to complete the reply and a short follow-up window. Care records are kept for the period our practitioners need in order to treat you safely and to meet professional rules. Subscription addresses are kept until you unsubscribe and the removal is confirmed.

When a record is due to be deleted, it is removed from the active system and from routine backups on the backup cycle. A copy that must be kept for a named legal duty is isolated and labeled with the reason and the date it can finally go. You may ask what category your record is in.

Your choices

You may ask for a copy of the information we hold, ask for a correction, or ask us to delete what we are allowed to delete. Some clinical notes cannot be erased on request because a practitioner must retain them. When that is true, we will say so and we will still correct anything that is wrong. You may unsubscribe from the journal without affecting a care record.

You may refuse a question. If a missing answer would make a visit unsafe, the practitioner will tell you what cannot be done without it. You may also ask that two practitioners stop sharing notes, understanding that the plan may then become less coordinated. That choice belongs to you, and it can be reversed later.

Children and sensitive detail

This site is written for adults arranging their own care or helping another adult who has agreed. Do not send information about a child through the public forms. If a household includes a young person, discuss that in a visit after we have agreed on the right channel. Sensitive details such as mental health notes receive the same protection as the rest of the record, and fewer people can open them.

If you believe a message was sent in error, contact us quickly and name the email address involved. We would rather delete a mistaken note early than fold it into a record that is harder to unwind. We will tell you what we were able to remove.

Changes to this policy

We will update this page when our practice changes in a way that affects your information. The page will carry a revised date, and a short note at the top will say what shifted. If a change would use information in a new way, we will ask before doing so, except where a legal duty leaves no choice.

Continuing to read the journal or to attend visits after an update means you have had a chance to read the new text. If you disagree with a change, say so before the next visit and we will discuss whether we can still work together under the previous terms.
